Account codes and mappings

Enter and Account Code and description for each account in your external accounting system that you want associated with component categories and charges on your EStock invoices. These are then provided by EStock as account choices in the Account Code Mapping module.

Use the Account Code Mapping module to map your account codes to EStock categories, discount types and taxation types. You do not need to provide an account code for every category, only those that will be present on the invoices that you will be exporting to your external accounting package.

EStock will block the exportation of invoices and credit notes if there are invoices or credit notes containing components or charges that belong to categories that do not have account codes mapped against them.

Business units

Your EStock Company is broken down into Business Units. Each branch in EStock should be considered as a financial entity operating under perhaps one parent company name.

Remote Access Technologies will have already configured your Business Units and settings prior to you using EStock.

The first level (01) of your Business Units is your parent company name. At present the only information required for a company level is the description.The next level is the branch level labelled 0101, 0102… depending on how many branches you wish to operate using EStock. Much of EStock’s functionality separates records based on branch enabling you to easily manage your multi-branch franchise. A branch requires a description, a State and a Business Name. Defining the State allows EStock to determine the Country you are operating in and any associated tax rates that have been predefined in EStock. The State also allows EStock to determine whether a Customer or Supplier is tax exempt. Any Customer or Supplier located in a different State or Country will automatically not be charged tax.The Printing Header Left and Right fields allow you to define the information that will appear in the header of all your Quote and Invoice print outs.

Set the default start and end times for your business. These values are used by EStock in the resource management modules.Enter the default Rental Job Type and the default notes that will appear on every new job created.The Business Units module also allows you to define the logo that appears in your EStock session and the logo that will appear on your Quotes and Invoices. To define these, select the ‘Images’ tab and click ‘Select’ on either image to define the image. You will need to scroll the Images window down to define the Desktop Image. Saving the Business record will apply the images.

Sending emails

EStock provides you with a simple email sender that you may use to send emails to your customers. To send emails you must first configure your email settings. See the ‘Settings’ section in this document.

There are three ways in which you may enter recipients in the ‘To’ Drop down. The first is by selecting from one of the customers or suppliers provided in the drop down. The list comprises of all customers and suppliers in your EStock system that have an email address present. The second method is by simply typing or pasting an email address into the ‘To’ drop down. The third is by searching EStock for one or more customers. To do this, click the C button to the right of the ‘To’ drop down. This will show the Customers and Suppliers module. Use the query feature to find one or more customers to add to your recipient list. When you close the Customer and Suppliers module, all customers that appear in the right hand list will be transferred to the recipient list. Note that each recipient should be separated by a <space> as in the above example. The X button clears the recipient list. To add one or more attachments, click the ... button next to the attachments text box.

Settings

You may configure individual settings for your login.

SMTP Server – is the address of your email server. This may be the mail server of your internet service provider (ISP) or it may be the name of your internal company server that handles your email, Microsoft exchange, for example.

Return Address - in order for EStock to send email, your mail server will require a return email address to which your recipients can reply to. EStock cannot currently receive email so this should be the same email address that you give to your contacts in order for them to contact you.

Configuring default printers means that when you click the Print button in any of the EStock windows, no print preview window will open and the document will go straight to the default printer. If you have set these values but still wish to preview the occasional document first, hold the <Shift> key down before clicking the Print button.

User permissions

If you have been given permission, you will be able to configure what areas of EStock your staff have access to.

You can allow a user access to different sections of EStock at Branch level or you can enable the permission at Company level which will give the user access to the section of EStock no matter what Branch they are operating from. Clicking ‘Select Company Level’ is a quick way to give a user complete access to all functionality at all Branches. You may then easily turn off a few selected features for the user. User permissions are not available in the testing database.
